How to Find Shared Calendar Availability with ChatGPT
Step 1: Connect Your Accounts
Before you begin, you need to ensure ChatGPT has permission to access your schedule.
- Go to your Settings.
- Navigate to the Connectors section.
- Connect your Google Calendar and Google Contacts.
- Note: This is a simple one-click authentication process where you approve ChatGPT to check your calendar.
- Important: The calendars you want to check must be shared with you. ChatGPT can search your calendar and any calendars that have been shared with your account.
Step 2: Create the Search Prompt
Once connected, you can ask ChatGPT to find the open slots.
- Select the Thinking model to perform the search.
- Write a prompt specifying the person, the duration of the meeting, and the timeframe.
- Example Prompt: “Can you give me all of the one-hour free time blocks Ali and I have shared [East Coast time] between 8:00 AM and 6:00 PM for tomorrow and Friday?”
Step 3: Processing and Results
ChatGPT will automatically recognize that your calendar is connected and begin the search.
- Processing Time: It may take a few minutes (around two minutes) to process. It may even write code to verify the exact overlap to ensure accuracy. You can let it run in the background while you do other things.
- The Output:
- It will combine the free blocks and list the exact times you are both available (e.g., Thursday 4:00 to 5:00 and 5:00 to 6:00).
- It will identify days where no shared blocks fit your criteria (e.g., Friday is totally blocked).
- Smart Suggestions: If your specific time requirement isn’t met (like a full one-hour block), ChatGPT may provide helpful context, such as pointing out that there are shorter 30-minute or 15-minute slots available instead.
